Picking a rental sound system comes down to four things: how many people, what kind of space, what kind of music, and what the venue can support. Get those right and the system disappears into the night. Get them wrong and you either blow the budget or run out of headroom halfway through the headliner.
This guide walks through each one, then shows how WAAT’s rental packages line up.
1. Start with the crowd
Headcount is the first thing we ask for, and it’s the biggest driver of system size. More people means more ground to cover, more bodies absorbing sound, and more distance between the speakers and the back of the room.
- Small gatherings (backyards, lounges, small private parties): a compact pair of tops and a single sub is usually plenty.
- Club-size rooms and bigger private events: step up to dedicated subs and tops built for longer nights at higher volume.
- Festival stages and large outdoor events: full stacks with multiple subwoofers, kick cabinets and horn sections, plus an engineer to run them.
Not sure of your final number? Give us the range you’re expecting. It’s easier to plan for the top of the range than to scramble on show day.
2. Know your space
The same system behaves very differently indoors and out.
- Indoors, walls and ceilings reflect sound back at you. Hard rooms (concrete, glass, warehouses) can get boomy, so placement and tuning matter as much as raw size.
- Outdoors, nothing helps you. Sound spreads out and fades with distance, so you need more output to cover the same crowd, especially in the low end.
- Shape matters too. A long, narrow room may need fill speakers partway back so the far end isn’t listening to a whisper.
Photos, a floor plan, or even a rough sketch of the space help us recommend the right layout.
3. Match the system to the music
A jazz brunch and a bass music night can draw the same number of people and need completely different rigs.
- Bass-heavy music (dubstep, drum and bass, house, hip-hop) lives in the subwoofers. Plan for more subs than you think, so they can deliver that weight without being pushed to their limits all night.
- Live bands and speeches need clean vocals and good coverage, and usually monitors on stage so performers can hear themselves.
- Listening-focused events (hi-fi bars, listening sessions, background music that still sounds great) reward detail and clarity over sheer volume.
4. Check power and access
The best system in the world is useless without clean power and a way to get it in the door.
- Power: big systems need dedicated circuits. Outdoors, that often means a generator sized for the load. Tell us what power is available and where.
- Load-in: stairs, elevators, gravel, sand and long pushes all add setup time. Let us know about them ahead of time.
- Setup window: when can the crew get in, and when does the venue need everything gone? Bigger rigs need more time to place and tune properly.
- Sound limits: some venues and neighborhoods have volume limits or curfews. A well-chosen system can sound full at a lower level.
How WAAT’s rental packages compare
Every WAAT rental package is built from cabinets we CNC-cut, load with top-shelf components, and tune ourselves. The package names count the boxes: the first number is the tops or horn sections, the last is the subwoofers, and the big stacks add kick cabinets in the middle.

What to send us for a quote
The more of this you can share, the faster and more accurate the recommendation:
- Event type and date
- Expected attendance (a range is fine)
- Venue or location, indoor or outdoor, and photos if you have them
- Music style or program (DJs, live band, speeches)
- Available power
- Setup and teardown times
- Any volume limits or curfews
Why rent from WAAT
We don’t just move boxes. WAAT designs, builds and runs loudspeaker systems, so our recommendations come from how the gear actually performs, not from whatever is easiest to send out the door. Delivery and setup support are available when you need them.
See our rental packages or tell us about your event and we’ll recommend the right system.
